Software that already knows how a practice runs

Each edition is the platform pre-configured for that practice: online scheduling, intake and consent, recall and the patient balance on a card on file are already set up. Payments are built in: Basic is $99/mo, credited back on your monthly processing statement while you process with us, so the software is on us. The AI builds the rest.

What every edition here shares

Practices lose money in two places: the balance nobody called about and the recall nobody sent. These four run in every edition on this page.

Collects the balance without the phone callAfter the visit, or after insurance adjudicates, the patient gets a text with the amount and a secure pay link. A reminder follows on day 7, a card on file can be charged with consent, and the front desk sees one aging list.
Sends the recall that fills the scheduleHygiene at six months, skin checks yearly, a plan of care that stopped early. The platform knows the date per patient and texts a booking link, then a second text, then the AI receptionist calls.
Finishes intake before the waiting roomNew-patient forms, consent and insurance details are signed from a phone before arrival and land on the patient record with access controls. Anything unsigned the night before gets a text.
Answers the line after 6pmThe AI receptionist answers texts, chats and calls around the clock, books into the right provider's calendar, confirms tomorrow's appointments and hands anything clinical to a person. Monday the schedule is full, not the voicemail.
Payments built for medical practices

Patient balances, collected

Most practices collect two kinds of money: insurance-adjudicated balances that belong on interchange-plus with one small, disclosed margin, and elective or retail tickets where a compliant dual-pricing program posts a cash price and a card price up front. We set up both on one account, and you save on card fees versus flat-rate pricing: send a statement and we show the math.

  • Card on file for copays, balances, plans of care and memberships, with consent captured and smart retries on failed cards
  • Interchange-plus on medical balances; compliant dual pricing on elective, cosmetic and retail tickets where you choose it. Where a surcharge is used instead, it is capped at the lesser of 3% or your actual cost of acceptance (2% in Colorado and Oklahoma)
  • Pay links on every statement text and hosted payment pages on your website
  • ACH at a flat per-item fee instead of a percentage for employer, physician and facility accounts; Level 2/3 data on B2B cards
  • Countertop terminal at checkout, mobile reader in the room, kiosk for walk-in check-in (hardware)
  • Consumer financing for treatment plans through our referral partners; the approved amount settles like any other payment
  • Business banking with reserve sub-accounts for payroll tax, through our partner bank (banking)

Which plan a practice picks

Any practice with card volume starts on Basic at $99/mo, credited back on your monthly processing statement while you process with Merch FinTech, so the software is on us: scheduling, intake forms, card-on-file invoicing, two-way texting, one website and two users. Practices that want recall automations, the AI receptionist, review requests and unlimited staff logins run Pro at $299/mo ($249/mo billed annually). Pro is credited back at higher processing volumes. Compare plans.

FAQ

Questions from practice managers

Does this replace our EHR or practice-management system?
No. It runs alongside it: scheduling requests, intake, reminders, recall, texting, reviews and the money. Clinical records stay in your EHR. Many practices move front-desk scheduling and collections here and keep charting where it is.
How is patient information handled?
Intake, consent, notes and photos live on the patient record with role-based access, encryption and audit logs, not in email threads or a scanner tray. We configure the account HIPAA-aware and walk through your specific requirements with you. Our security page lists what we do and don't cover.
Can we charge a card on file for a balance after insurance?
Yes, with the patient's signed consent at intake. The platform texts the amount first, charges on the date you set and sends a receipt. Patients can also pay from the link themselves without the automatic charge.
Can a practice run dual pricing?
Where it fits. Debit can't be surcharged, and programs are subject to card-brand rules and state law and are not available everywhere. Most practices keep insurance-adjudicated balances on interchange-plus and run dual pricing on elective, cosmetic and retail tickets. We walk through what applies in your state.
