Software that already knows how a school, a camp or a congregation runs

Each edition is the platform set up for that institution: enrollment, tuition or dues plans, the family portal and receipts, already built. Payments are built in, so Basic is credited back while you process with us, and the AI builds the rest.

What every edition here shares

These four run in every edition on this page.

Recovers the payment that didn't go throughA card declines on the 1st. The family gets a text with a secure link the same morning, the plan retries on your schedule, and the office sees only what is still open on day 7.
Gives every family a portalBalances, payments, a card or bank change, forms to sign and year-end statements, from a phone. Fewer calls to the office, and the ones that come are about something else.
Answers the office line after hoursDeadlines, rates, where to find a statement, how to pay. The AI receptionist answers texts, chats and calls around the clock and hands aid, care or pastoral matters to a person.
Builds the board packetEnrollment or membership by group, receivables aging, campaign progress and collected against budget. Describe the report once and it arrives on the first of every month.
Payments built for institutions

Tuition and dues without the card fee

Tuition, dues and installments are large, predictable payments: the worst case for a percentage card fee and the best case for a bank payment. Families pay a small flat fee per bank payment instead of a percentage and no annual per-family fee; the institution pays nothing for the software while it processes with us. The institution decides whether the flat bank-payment fee is paid by the family or absorbed.

  • Flat per-item ACH fee for tuition, dues and installments instead of a percentage; the institution decides whether the payer covers it
  • Returned payments: the processor's return fee passes through at cost, with two automatic retries
  • Card on file for families who prefer card, on interchange plus one small, disclosed margin, with smart retries; we show you the math on your statement
  • Charity interchange rates for qualified 501(c)(3) organizations, confirmed at underwriting
  • Compliant dual pricing at the school store, canteen and visiting day: both prices posted up front, within card-brand and state rules
  • Donor-covered fees as a checkbox on every giving page; tap-to-donate kiosks and a countertop terminal at the office (hardware)
  • Scribe campus and community cards for lunch, canteen and the gift shop (cards)
  • Each institution holds its own merchant account, in its own name, with our processing partner

Your stored cards and family records move with you as tokens and exports if you ever leave. Dual-pricing and cash-discount programs are subject to card-brand rules and state law and are not available everywhere.

Plans

Which plan an institution picks

Any institution with card volume starts on Basic at $99/mo; while you process with Merch FinTech we credit it back on your monthly processing statement, so the software is on us. Basic covers tuition or dues plans, invoicing, the family portal, forms, one website and two users. Most move to Pro at $299/mo ($249/mo billed annually) for community-wide email and SMS, automation, the AI receptionist and unlimited office users; Pro is credited back at higher processing volumes. Compare plans. Need it built around how you run? Custom builds from $1,999.

Don't see your institution? We build new editions regularly. Tell us what you run and we'll show you the closest edition and what we'd change.

FAQ

Questions from institution offices

Can we make ACH the default and still accept cards?
Yes. Most institutions set ACH as the default on the plan form, at a flat per-item fee instead of a percentage, and let families opt into card. The institution decides whether the payer covers the flat fee. Card payments run on interchange plus one small, disclosed margin, with the math on your statement.
We're a Jewish school, camp or shul. Which edition do we pick?
613OS, our dedicated edition for Jewish institutions. It carries the school, the shul and the camp on one family account, with the Hebrew calendar and honors billing already configured, and it replaces FACTS and ShulCloud. Every other institution here uses the Merch FinTech edition. Same platform, same rails.
Does one family account carry tuition, after-school and donations?
Yes. A family sees one statement with separate categories for tuition, fees, aftercare and giving. The bookkeeper exports each category cleanly to QuickBooks and similar systems, and every deposit reconciles to its transactions.
How is financial aid or a care subsidy kept private?
Aid is a flag on the family or resident account with a reduced schedule behind it. Staff with billing rights see amounts; everyone else sees only the flag, so a teacher pulling a roster or a volunteer sending reminders never sees who pays what.
What about PCI compliance?
Online and card-on-file payments qualify for the simplest self-assessment questionnaire; countertop terminals and kiosks use the terminal questionnaire. We charge no PCI program fee; the processor's non-compliance fee applies only if the annual questionnaire isn't completed, so we help you complete it.
